RFP Compliance Matrix Generator
Stop building your matrix by hand. Paste the RFP and this compliance matrix generator pulls out the clauses that carry an obligation, tags the mandatory ones, keeps the buyer's own clause numbering, and returns them as matrix rows you can act on.
The columns a compliance matrix actually needs
Most hand-built matrices carry four columns and a colour. These sixteen are what make one survive a six-week bid with five contributors.
The full mechanics, including status models and filtering, are in the guide on building a compliance matrix that holds up.
Never keep a requirement you cannot trace
A matrix row without a clause reference and a page number is an assertion. Six weeks into a bid, when a reviewer asks whether the buyer really demanded three references or merely suggested them, an untraceable row cannot answer the question and the team re-reads the document under time pressure.
That is why the original clause is stored verbatim next to the normalised version. The normalised text is what your team works from; the original is what the evaluator will hold you to. Overwriting one with the other loses the only wording that legally counts.
The same discipline applies to mandatory detection. Obligation language — shall, must, is required to, will be rejected, condition of participation — is matched by explicit rules rather than left to a model's judgement, because the cost of a false negative is disqualification.
