TenderOS Terms of Service

These terms govern use of the TenderOS website, the free tender analyzer and the paid workspace. Using any of them means accepting them.

The most important clause on this page. TenderOS provides AI-assisted analysis and drafting. The organisation submitting the bid remains responsible for reviewing requirements, verifying information, obtaining legal review, taking commercial decisions, approving the proposal and making the submission. TenderOS does not guarantee eligibility, compliance, contract award or a win.

1. What the service is

Software that analyses tender and RFP documents, extracts and tracks requirements, builds a compliance matrix, matches company evidence, drafts grounded responses, flags risks and validates submission completeness. It is a tool used by your team, not a service in which we prepare your bid for you.

2. The free analyzer

The free analyzer runs entirely in your browser and is provided as is. It is a fast structural read, not a complete requirement analysis, and its output should be verified against the source document before any decision is taken on it. We may change or withdraw it.

3. Accounts and plans

  • You are responsible for the security of your account credentials and for the actions of users you invite.
  • Plans are metered on tender workspaces, processed pages, seats and knowledge storage. Included volumes are published on the pricing page.
  • Reaching a limit pauses new processing. It does not remove access to work already in the account.
  • Plan entitlements are granted on server-verified payment confirmation, never on a browser redirect alone.

4. Billing

  • Subscriptions renew for the chosen term until cancelled.
  • Fees are stated exclusive of applicable taxes.
  • Cancellation takes effect at the end of the paid term; access during that term continues under the billing policy in force.
  • Failed payment may suspend processing after notice.

5. Your content

You retain all rights in the documents, knowledge and responses you put into the service. You grant us only the licence needed to host, process and display that content in order to provide the service to you. Your content is not used to train AI models.

You confirm you have the right to upload what you upload, including any tender documents subject to confidentiality obligations, and that doing so does not breach an obligation you owe to a third party.

6. Our content

The software, its interface, the documentation and the guides published on this site remain our intellectual property. Templates, checklists and examples we publish may be used freely in your own bids.

7. Acceptable use

You agree not to:

  • Upload malware, or attempt to exploit the document parsing pipeline.
  • Attempt to access another organisation's data.
  • Circumvent plan limits, rate limits or abuse controls.
  • Use the service to produce statements you know to be false about your organisation.
  • Resell or white-label the service without a written agreement.

8. AI output

Generated content is a draft. It may be incomplete, may misclassify a clause, and may require information the system has explicitly marked as missing. Every output must be reviewed by a competent person before it forms part of a submission. Risk and contract flags are automated review prompts, not legal advice, and TenderOS is not a law firm.

9. Availability

We aim for high availability but do not warrant uninterrupted service on standard plans. Service level commitments, where offered, are set out in an Enterprise agreement.

10. Liability

To the maximum extent permitted by law, our aggregate liability arising out of or relating to the service is limited to the fees you paid in the twelve months preceding the claim. We are not liable for lost profits, lost contracts, lost bids or indirect or consequential loss.

11. Termination

You may cancel at any time. We may suspend or terminate for material breach of these terms, with notice where practicable. Export your compliance matrices, proposals and knowledge base before an account closes.

12. Changes

We may update these terms. Material changes will be notified to account holders before they take effect, and the date at the top of this page will change.
